Start, pause and Recent activity

The top card of your dashboard shows whether DocketBridge is running, when it last checked, and has the Start or Pause and Run once now buttons.

Start and Pause

  • New accounts start PAUSED. Press Start when ServiceM8 and Xero are both connected. Otherwise you see "Connect both ServiceM8 and Xero first".
  • While running, the status reads "RUNNING, checks every few minutes".
  • Start does not check straight away. The first check happens on the next cycle, within about 5 minutes. Press Run once now if you want a check immediately.
  • Pause works at any time. While paused nothing is checked. When you start again, DocketBridge checks your most recently updated invoices as normal and catches up on invoices updated in Xero since its last check, going back up to 90 days and up to 50 invoices a check. After a long pause, catching up can take a few checks. If no check ever finished for your account, there is nothing to catch up from, so it starts with your 100 most recently updated invoices. See which invoices are checked again.
  • Pausing does not cancel your subscription. See billing.

How often DocketBridge checks

DocketBridge checks your invoices every 5 minutes. The 5 minutes starts once the previous check finishes, so the gap is 5 minutes plus the time the last check took. It does not react the moment a form is completed, so a docket is attached on the next check after both the form PDF and the Xero invoice exist.

The last check time

Next to the status you see "last check" and a time, shown in your own time zone. It only updates after a check finishes without an error. If DocketBridge is RUNNING and the time has stopped moving, checks are failing. When ServiceM8 or Xero has refused DocketBridge, the top card also says "A connection needs attention, so checks are failing. See below." and that connection's card shows needs attention with the fix. See troubleshooting.

If your trial has ended without a subscription, the status reads "TRIAL ENDED, paused" instead of RUNNING and nothing is attached until you subscribe. After a failed payment it reads "PAYMENT FAILED, paused" once the 24 hours of grace are over, and after a cancelled subscription ends it reads "SUBSCRIPTION ENDED, paused". The last check time is not shown in these three states, because nothing is being checked. The Billing card shows what to do. See billing.

Run once now

Run once now runs one full check straight away, with the same rules as the scheduled checks, including catching up and any invoices queued to be checked again. It works while paused and does not change Start or Pause. It needs both ServiceM8 and Xero connected.

MessageWhat it means
Run complete: N attached, M otherN dockets were attached. "Other" counts client rule skips, totals that did not agree, job numbers used more than once, files already on the invoice and Xero upload errors. Invoices with no matching job, jobs with no ticked forms, dockets already attached and files that are not PDFs are not counted. Skips are counted again on every run, so a high number can be normal.
A check is already running. Refresh in a minute to see the result.Another check of your account, usually the scheduled one, was running and did not finish within 5 seconds. Two checks of one account never run at the same time, so nothing is uploaded twice. Refresh the page shortly and look at Recent activity.
Attachments are paused until you subscribeYour trial has ended without a subscription, or your subscription has ended. Nothing is checked until you subscribe.
Attachments are paused until your payment goes through A payment failed more than 24 hours ago and has not gone through yet. Press Manage billing to update your card. DocketBridge resumes by itself once the payment goes through.

Run once now does not change the last check time. Only the scheduled checks do.

Recent activity

The Recent activity card lists what DocketBridge did with your invoices, newest first, 50 to a page. Use Newer and Older under the list to move between pages. The columns are When, Invoice (the Xero invoice number), File and Result, and a button where there is something you can do. Under each result is a short note on what to do, and the result code, for example skipped_exists.

ResultWhat it means and what to do
AttachedThe docket was added to the Xero invoice with "Include with online invoice" ticked.
Already on the invoice
skipped_exists
A file with this name was already on the Xero invoice, so it was not uploaded again. If you removed that file in Xero, press Attach again.
Not attached: not a PDF
error:not_pdf
ServiceM8 did not return a PDF for this form. Check the form in ServiceM8, then press Attach again.
Not attached: Xero refused access
error:401 or error:403
Press Reconnect Xero, then Attach again.
Not attached: Xero was busy
error:429
DocketBridge tries again by itself.
Not attached: Xero refused the upload (500)
error: and the number Xero returned, for example error:500
DocketBridge tries again at later checks. If it keeps failing, press Attach again or email us.
Skipped: totals differ
skip:total_mismatch
The Xero invoice and the ServiceM8 job must agree within 4 cents. Fix whichever is wrong, then press Check again. Both totals are shown, for example "(Xero 110.00, ServiceM8 150.00)".
Skipped: client rule
skip:client_rule
Your client rules say this client does not get dockets. If it should, change your client rules and DocketBridge checks it again.
Skipped: job number used more than once
skip:duplicate_job
More than one ServiceM8 job has this number. Make it unique in ServiceM8, then press Check again.

Attach again and Check again

  • Attach again is on every "Not attached" and "Already on the invoice" row. It removes that result and queues the invoice, so the next check tries the docket again. For "Already on the invoice", first remove the file with the same name from the Xero invoice, or it is skipped again.
  • Check again is on "Skipped: totals differ" and "Skipped: job number used more than once" rows. Fix the totals or the job number first. It removes the skip and queues the invoice for the next check. If the problem is still there, the skip comes back.
  • Both show "Queued. DocketBridge tries again at the next check, or press Run once now". Press Run once now to try straight away. "That activity row cannot be retried" means the row has already been retried or no longer exists, so refresh the page.
  • A queued invoice is checked wherever it is in Xero, not only if it was updated recently. It waits for the next check however long that takes, for example while paused or until you subscribe. One that keeps failing is tried up to 6 times.
  • An Attached row has no button. If someone deletes an attached docket from the Xero invoice, DocketBridge does not attach it again. Attach it by hand in Xero if you need it back.

Skipped invoices

Each skipped invoice is listed once for each reason, not on every check. When shows when DocketBridge first skipped it, and "Last checked" shows the latest check that found the same problem (updated at most once an hour). The row goes away by itself once the invoice matches, for example after you fix the totals, and skips not seen again for 90 days are removed.

Some outcomes are not listed: invoices with no matching ServiceM8 job, invoices with no number, jobs with no ticked forms and dockets already attached. Most businesses have invoices in Xero that did not come from ServiceM8, so an invoice with no matching job is normal and listing every one would bury the results that matter. If a docket you expected is missing, see troubleshooting.

While there is nothing to list, the card says "Nothing yet. Once running, every docket attached to an invoice shows up here." The Billing card also shows how many dockets DocketBridge has attached for your account in total.

Times on your dashboard

The last check time and Recent activity times show in your own time zone, as set on your computer or phone. If JavaScript is switched off in your browser, they show in UTC instead and end with "UTC".
