Disconnecting and your data

You can pause DocketBridge, remove its access to ServiceM8 and Xero, or delete your account yourself. Pausing or removing a connection does not cancel your subscription, so cancel that in Manage billing as well. Deleting your account cancels it for you. See billing.

Pause

Press Pause on your dashboard. Nothing is checked while paused, and nothing changes in ServiceM8 or Xero.

Remove access to ServiceM8

  • Press Remove ServiceM8 API key on the "Your account and data" card at the bottom of your dashboard. Remove ServiceM8 API key deletes the saved key from DocketBridge straight away and pauses DocketBridge. You see "ServiceM8 API key removed and DocketBridge paused. Also delete the key in ServiceM8". Your form and client settings are kept.
  • Then delete the key in ServiceM8 under Settings, API Keys, so it can never be used again.

Remove access to Xero

  • Press Disconnect Xero on the "Your account and data" card. DocketBridge asks Xero to remove its connection, deletes the stored Xero connection details and pauses. You see "Xero disconnected and DocketBridge paused".
  • If Xero could not be reached, DocketBridge still deletes its stored details and pauses, and you see "Xero disconnected here and DocketBridge paused. Also remove DocketBridge in Xero under Connected apps". Remove it in Xero yourself in that case.
  • If you disconnect DocketBridge from within Xero instead, the next check fails, the Xero card shows needs attention and DocketBridge emails you once. Press Disconnect Xero to clear the stored details, or Reconnect Xero to carry on.
  • Your settings and activity records stay. Connect Xero again at any time.

Delete your account

The "Your account and data" card at the bottom of your dashboard has Delete account. Type delete in the box and press Delete my account. DocketBridge then:

  1. cancels your subscription straight away, if you have one, so you are not charged again;
  2. asks Xero to remove its connection, where it can;
  3. deletes your account and login, settings, activity records, records of skipped invoices and emails sent, and stored ServiceM8 and Xero connection details;
  4. emails a confirmation to your login email address and logs you out.

It cannot be undone. If your subscription cannot be cancelled, nothing is deleted and you see "Your subscription could not be cancelled, so nothing was deleted. Try again or email laurits@specializedcg.com.au". Also delete the API key in ServiceM8 under Settings, API Keys. Stripe keeps its own billing records.

You can also email laurits@specializedcg.com.au from the address you log in with and ask for your account to be deleted. We do the same within 30 days, except anything we must keep by law, and confirm by email.

What DocketBridge stores

  • Your email address, a one-way password hash and your business name.
  • Your settings: the form templates and clients you selected, stored as ServiceM8 IDs, not names.
  • Activity records: the Xero invoice ID and invoice number, the ServiceM8 attachment ID, the file name, the result and the time.
  • Records of skipped invoices: the Xero invoice ID and invoice number, the reason, the two totals when they differ, and when it was first and last seen. Invoices queued to be checked again are kept as their Xero invoice ID.
  • Encrypted ServiceM8 and Xero connection details, the name of the Xero organisation you connected, and whether a connection needs attention and since when.
  • If you subscribe, your Stripe customer and subscription IDs, and the times of any failed payment and when a subscription ended. Stripe holds your payment details, not DocketBridge.
  • A record of each account email sent to you (which email and when), and whether you switched off reminder emails.
  • A login cookie that keeps you logged in for 30 days, and hashed records of the IP addresses and email addresses used, to limit repeated login and email attempts.

DocketBridge never stores your docket PDFs. They pass through memory from ServiceM8 to Xero and are discarded after each request.

How it is protected

  • Connection details for ServiceM8 and Xero are encrypted at rest.
  • Passwords are stored as Argon2id hashes, never in plain text.
  • Login sessions are stored on the server and last 30 days.
  • ServiceM8 access is read-only. In Xero, DocketBridge only adds docket attachments and never edits invoices.

How long it is kept

  • While your trial or subscription is current, your account, settings and activity records are kept so DocketBridge can run.
  • If your trial ends without a subscription, or your subscription ends, your workspace is kept for 12 months in case you come back. It is then deleted automatically: your account, stored connection details, settings and activity records. DocketBridge emails you 14 days before, and subscribing again before then keeps your account.
  • Delete account on your dashboard deletes it straight away. If you ask by email for your data to be deleted, it is deleted within 30 days and we confirm by email.
  • Records of skipped invoices are removed once the invoice matches, or after 90 days without the same skip.
  • Daily backups are kept for 14 days, so deleted data is removed from them within 15 days.
  • Billing records are kept for as long as tax law requires.

Your data is stored with Render in Singapore. The Privacy Policy lists the service providers that process it and where.
